  1. Choose the maintainable sourceUpload an existing document or paste a short owned answer.

    Use a file for an existing approved document; Chat4U accepts .pdf, .docx, .doc, .txt, and .md. Use text for a maintained FAQ, policy, or announcement. Text cannot be empty and is limited to 500,000 characters.

  2. Add it with the right accessName it clearly and decide which agents may use it.

    In Knowledge, upload the file or paste the text. An unspecified agent selection assigns active agents by default; an explicit empty selection leaves the source unassigned. Keep independently owned topics in separate text sources.

  3. Wait for Ready, then testProcessing is not the same as dependable retrieval.

    Ask one representative question after the source becomes Ready. Formatting is not guaranteed to survive as retrievable text, so especially test tables, scans, and designed PDFs. Editing text queues a new run and is unavailable while a run is queued or active.
